Maya Chatbot Privacy Policy (English)

Maya is not a real person, it is a personality created by Plan International Nepal and Tangible AI, using computer software – a chatbot. Maya has a profile on Facebook, but the software application is hosted on another platform called Manychat, which is connected to Facebook.

At Plan International Nepal, we aim to ensure that all users are supported to feel secure, and your privacy is important to us. Maya collects information (“data”) about you to help improve its service and help you make the most of what Maya has to offer. When we collect your data, we ensure that it is kept securely and we respect your privacy at all .

You have accessed Maya through your active Facebook account, and therefore we assume you have valid access to this account and meet the requirements for that access.

INFORMATION WE COLLECT FROM YOU

When you talk to Maya, we will collect and store certain information about you. When you send the first message to Maya, you are sharing your name, general location (not your precise address) and time zone with Manychat and other services we use (see “Third Party Services”). If you do not want to share these details then you cannot use the service; by using these services you are accepting these terms. If you include personal information in your messages, it will be stored in Facebook and in Manychat. Although we will redact any Personal Identifiable Information, from your answers, we recommend that you don’t mention any details that may identify you.

During the interaction with Maya, we may ask you for your phone number. This number might be used to share tips and information related to Maya’s content with you after you interact with .

Additionally, we may use your contact information to contact you after you interact with Maya in order to gather feedback or information from you related to your experience with Maya. These requests for feedback or follow-ups are completely optional. You may choose to respond or to ignore these requests.

When participating in polls, quizzes, and surveys we may ask you to share information about yourself and your life or to tell us about your opinions, thoughts and feeling, as well as your experiences and things that happened to you. You can choose what information you’d like to share.

USE OF YOUR DATA

Plan International Staff who support Maya Chatbot may view your data whilst carrying out their jobs. All of the staff members who have access to Maya’s data are carefully selected, and are legally subject to Plan International’s high standards on child safeguarding [include link to policy].

In addition, we sometimes work with a limited number of other companies, agencies and software products (“third parties”) to help us develop and manage Maya chatbot. Some of our partners may have access to your data. Any of the third parties that have access to user data will also have signed an agreement with us about confidentiality and security [link to that agreement (the template)].

The third parties with whom we share data include:

  • Technology Partners: Tangible AI is Plan International’s technology partner in implementing Maya. Tangible AI staff built Maya and helps us maintain and improve the chatbot.
  • Data Partners: We may share data with this partners so that we understand how people interact with Maya, what interests them and how Maya can be improved.  
  • 3rd-party software: several platforms are used to implement and support Maya. They include Manychat, Microsoft Excel, Amplitude, Integromat and Wit.ai.

We will never share your information with a third party to use for marketing purposes.  And we will never rent or sell your personal information to any other business or organization.

WHAT CAN YOU DO

Maya relies upon Facebook and Facebook Messenger, and we don’t have any control over Facebook, or how you use it. If there are any technical issues, bugs, or security breaches within Facebook then they may affect Maya.

You can delete your messages to Maya from your account, but this won’t affect the copies which are on Maya’s profile. Every message you send is received and stored within Facebook on the Maya profile page, as well as in other third-party services that we listed above.

You can ask us to completely delete all the data we have about you, this is also called your Right to be Forgotten. If you want us to delete your data, you will also need to stop using the service. However, there are times when we use your information for statistical or research purposes or to help Plan advance children’s rights. In these cases, when we delete the data related to you, some of the anonymised data (meaning that it can’t be used to identify you) regarding your interaction with Maya may stay in our systems. You can email us on Nepal.CO@plan-international.org to ask for your data to be deleted or if you have any other questions about your data.

You can also ask to receive a copy of the data we hold about you, should we have any, or for us to correct any of the information. These are also called your Right to Access and Right to Rectification. We will try our best to respond to requests within one month of confirming your identity. Please email us on Nepal.CO@plan-international.org and we will send you additional questions so that we know exactly what you would like us to do.

Legal Purposes: We may disclose information about you (i) if we are required to do so by law or (ii) when we believe disclosure is necessary or appropriate to prevent physical harm or financial loss or in connection with an investigation of suspected or actual illegal activity. We reserve the right to transfer any information we have about you in the event we sell or transfer all or a portion of our business or assets. Should such a sale or transfer occur, we will use reasonable efforts to try to direct the transferee to use personal information you have provided in a manner that is consistent with this Privacy Notice.
